Meadow Fest Terms and Conditions
These Terms and Conditions (“T&Cs”) apply to all attendees, ticket holders, and participants at Meadow Fest (“the Festival”), organised by Stage Crash Events Ltd (“we”, “us”, “our”). The Festival is scheduled for May 1-3, 2026, at Cornbury Park, Oxfordshire, UK. By purchasing a ticket or attending the Festival, you agree to be bound by these T&Cs. We reserve the right to update these T&Cs at any time, and any changes will be posted on our website (www.meadow-fest.com).
Please read these T&Cs carefully. If you do not agree with them, do not purchase tickets or attend the Festival.
1. General Information
a) The Festival is a family-focused boutique event celebrating British music, agriculture, culture, and sustainability. It includes live music performances, interactive workshops, culinary activations, and community initiatives.
b) Artists, performers, schedules, and activities are subject to change without notice due to unforeseen circumstances, including weather, artist availability, or other factors. No refunds will be issued for such changes.
c) The Festival operates a zero-tolerance policy towards illegal substances, harassment, discrimination, or any anti-social behaviour. We promote a safe, inclusive, and respectful environment for all attendees, especially families and children.
d) Right of admission is reserved. We may refuse entry or eject any person who breaches these T&Cs without refund.
e) No trading, vending, or promotional activities are allowed on site without our prior written consent. Unauthorised goods, including those with Festival logos, will be confiscated.
f) The Festival site is outdoors and subject to weather conditions. Attendees should prepare accordingly. The Festival will proceed rain or shine, unless deemed unsafe.
2. Tickets and Entry
a) Tickets are sold subject to availability and must be purchased from authorised agents only (e.g., our official website or approved partners). Tickets from unauthorised sources (including touts or secondary markets) may be invalid and result in denied entry.
b) Ticket resale is strictly prohibited, except through official resale platforms approved by us, in line with applicable laws. Any resold tickets may be voided.
c) All tickets must be exchanged for a wristband upon first entry. Wristbands are non-transferable, must be worn at all times, and cannot be replaced if lost, damaged, or removed. No re-entry on day tickets without a valid wristband.
d) Proof of purchase and valid photo ID may be required for entry. Acceptable ID includes: a current photographic driver’s licence, passport, or PASS hologram card.
e) Weekend tickets allow access for the full duration (May 1-3, 2026). Day tickets are valid only for the specified day. Upgrades from day to weekend tickets may be available at our discretion and subject to additional fees.
f) Lost or stolen tickets/wristbands will not be replaced or refunded.
g) Tickets remain our property and cannot be used for commercial purposes, promotions, or competitions without our written permission.
3. Age Policy and Guardianship
a) Meadow Fest is family-friendly and welcomes all ages. However, we prioritise the safety and welfare of children and young people.
b) No unaccompanied under-18s are permitted on site. All attendees under 18 must be accompanied by a ticket-holding parent, legal guardian, or nominated guardian aged 26 or over (for under-14s) or 30 or over (for 14-17s).
c) Ticket categories:
- Adult (16+): Full price.
- Under 16: Free: Must be accompanied as above. Maximum of 4 teens per adult guardian. Must be purchased with a paid ticket on the same booking.
- Teen (13-15): Must be accompanied as above. Maximum of 4 teens per adult guardian.
- Child (5-12): Must be accompanied by a guardian.
- Infant (0-4): Free entry but must be registered with a ticket and accompanied at all times, no wristbands required.
d) All under 16 must be registered for a free ticket and will require a wristband at first entry. Child and Teen tickets can only be purchased by an appropriately aged adult, who confirms they are the parent, legal guardian, or nominated guardian.
e) Nominated guardians must complete and bring a Non-Legal Guardianship Form (available on our website) and be prepared to show ID. They assume full responsibility for the minor(s).
f) Under-18s are not permitted in the arena or any licensed areas after 10pm without their guardian. Children under 13 must be supervised at all times.
g) We operate a Challenge 25 policy for alcohol sales. If you appear under 25, you will be asked for ID. Under-18s attempting to purchase or consume alcohol will be ejected.
h) We do not accept any parental or supervisory duty of care or liability for under-18s on site. Guardians are fully responsible for their charges.
4. Refunds and Cancellations
a) Tickets are non-refundable and non-exchangeable, except in cases of Festival cancellation, substantial alteration (e.g., change of venue or dates), or as required by law.
b) If the Festival is cancelled or substantially altered, refunds will be processed via the point of purchase, minus any booking fees (subject to the agent’s policy). Refunds must be requested within three months of the announcement.
c) No refunds for personal circumstances, including illness, travel issues, or changes in lineup/activities.
d) In the event of force majeure (e.g., extreme weather, pandemic, government restrictions), we may postpone, cancel, or alter the Festival without liability for refunds beyond ticket face value.
5. Prohibited Items and Searches
a) For safety, security checks and bag searches will be conducted at entry points and throughout the site. Refusal may result in denied entry.
b) Prohibited items include but are not limited to:
- Illegal substances or legal highs.
- Weapons, fireworks, flares, or laser devices.
- Glass bottles, cans, or metal containers.
- Professional recording equipment (audio/video) without permission.
- Drones or unmanned aerial vehicles.
- Animals (except registered assistance dogs – notify us in advance).
- Large bags/backpacks (small bags only; lockers available).
- Unauthorized fires, barbecues, or camping stoves (if camping is permitted).
- Offensive materials or clothing.
c) Confiscated items will not be returned. Illegal items may be handed to authorities.
d) Alcohol and food: Is prohibited within the arena. Limited personal alcohol (e.g., 24 cans of beer/cider or 2 bottles of wine per adult) may be brought in to the campsite but no spirits or glass. Excessive amounts will be confiscated. No external food/drink in the arena; exceptions for medical/dietary needs or infants.
6. Behaviour and Ejection
a) Anti-social behaviour, including violence, harassment, excessive noise, or damage to property, will result in immediate ejection without refund.
b) Climbing structures, crowd surfing, moshing, or throwing objects is prohibited.
c) Respect the environment: Littering, vandalism, or harm to wildlife/plants is not tolerated. We promote sustainability – use recycling points and follow green initiatives.
d) Smoking/vaping is only permitted in designated areas. No smoking near stages, tents, or children’s zones.
e) Ejected persons must leave the site immediately and will not be readmitted.
7. Health, Safety, and Welfare
a) Attend at your own risk. We take reasonable steps for safety but are not liable for loss, injury, or damage unless caused by our negligence.
b) Medical and welfare facilities are available on site. Report incidents immediately.
c) Stay hydrated, use sunscreen, and follow signage/instructions. Ear protection is recommended near stages.
d) If camping is offered (check website for details), follow campsite rules: No open fires, quiet hours after midnight, and respect neighbours.
e) In emergencies, follow staff directions. Evacuation may be required.
f) COVID-19 or health protocols: We may implement measures (e.g., testing, masks) based on government guidance. Non-compliance may result in denied entry.
8. Photography, Filming, and Media
a) Personal photography for non-commercial use is permitted. Professional equipment requires accreditation.
b) By attending, you consent to being photographed, filmed, or recorded by us, our partners, or media for promotional, security, or broadcast purposes. This may include children with guardian consent implied by attendance.
c) Email contact@meadow-fest.com to object to use of your image.
d) No unauthorised filming or live streaming.
9. Liability and Insurance
a) We are not liable for loss/theft of personal belongings, travel costs, or consequential losses.
b) Our liability is limited to the ticket face value, except for death/personal injury caused by negligence or as required by law.
c) Attendees are advised to have personal insurance.
10. Data Protection
a) We process personal data in accordance with UK GDPR and our Privacy Policy (available on our website). Data may be used for ticketing, safety, marketing (with consent), or shared with authorities if required.

11. Sustainability and Community
a) As a Festival championing British farming and sustainability, we encourage eco-friendly practices: Use public transport, carpool, and avoid single-use plastics.
b) Support for farmers: Proceeds and initiatives benefit local agriculture – no refunds for related changes.
12. Governing Law
These T&Cs are governed by English law. Disputes shall be resolved in English courts.
